Activating and sending contracts

Learn how to activate, sign, and send contracts in our booking system for annual pitches, seasonal pitches, and packages.

The contracts module in our booking system allows guests to digitally sign a contract. This is especially useful for bookings of annual pitches, seasonal pitches, and packages. It enables you to record agreements digitally and makes the booking process more efficient.

Important: The contracts module is not enabled by default in our booking system. Please contact the support team to activate this feature.

Activating Contracts

  1. Navigate via Settings > Arrangements and discounts to the annual pitches, seasonal pitches or packages.

  2. Click Edit next to the desired annual pitch, seasonal pitch, or package.

  3. Open the Attachments, conditions and rules tab.

  4. Enable the option Guest must sign a contract.

  5. Click Save changes.

Adding a Signature

You can upload your own signature, which will automatically be added to contracts.

  1. Go to Settings > Account > General > Reservation confirmation tab.

  2. Upload the desired signature under Signature for reservation confirmation.

Sending Contracts

There are two ways to send contracts:

Via a reservation

  1. Open the desired reservation.

  2. Go to the Contracts tab.

  3. Select the desired contract.

  4. You can then choose one of the following actions:

    • View

    • Publish contract

    • Publish and send

When you choose Publish and send, the guest automatically receives an email with a link to digitally sign the contract.

Via the contracts overview

  1. Go to Reports > Contracts > Send contracts. Here you will find an overview of all bookings for which a contract still needs to be signed.

  2. For each reservation, select which of the following actions you want to perform for the contract:

    • View

    • Activate

    • Activate and send

Tip: Check this overview regularly to see which contracts still need to be sent or signed.
