Overview of one-time pricing agreements and manual surcharges

Review and manage one-time pricing agreements, options, and surcharges and ensure the correct ledger accounts and VAT rates are applied.

The One-time pricing agreements and Options and surcharges (manual) overviews allow you to easily review which custom prices, options, and surcharges have been applied within a selected period.

These overviews are particularly useful for checking ledger accounts and VAT rates, ensuring that financial processing is completed correctly.

Reviewing one-time pricing agreements

Select the desired period to generate an overview of all one-time price agreements.

For each price agreement, verify that the correct ledger account and VAT rate have been configured.

Update these settings if necessary to ensure correct accounting processing.

Reviewing manually added options and surcharges

Filter by the desired period to generate an overview of all manually added one-time options and surcharges.

Verify that the correct ledger account and VAT rate are linked to each item.

Update these settings if necessary.

Processing changes in the administration

When you change a ledger account or VAT rate, these changes are automatically processed with the next payment or when the guest checks out.

Note: If the guest has already checked out when the change is made, the administrative journal entries must be updated manually.

Follow these steps:

  1. Open the relevant reservation.

  2. Click the arrow in the top-right corner to open the dropdown menu.

  3. Select Administrative bookings (Journalizing).

  4. Then choose:

    • 'Update reservation administrative bookings'.

    • 'Recalculate reservation administrative bookings'.

The administrative journal entries will then be rebuilt based on the current settings.
