Creating an optional reservation

Learn how to create an optional reservation in our reservation system.

With an optional reservation, you can temporarily reserve an accommodation for a guest without immediately conforming the reservation. This is useful when a guest is still deciding or needs extra time before making a final booking.

During the option period, the accommodation remains temporarily blocked for other reservations. You can also set an expiration date so the option automatically expires.

You can create an optional reservation in 3 ways:

  1. By converting an existing, unconfirmed reservation into an option.

Create an optional reservation via reservations

  1. Select the accommodation, period and optionally the location.

  2. Go to Step 2: Companionship, options and surcharges and enter the number of guests and add any options or surcharges.

  3. Go to Step 3: Guest details and enter the guest details or select an existing guest.

  4. Check 'This reservation is an option' and set an expiration date if that is desired.

  5. Click:

    • Place option to confirm the option without sending an email.

    • Or check 'Send confirmation' and choose Place option and send concept confirmation.

Create an optional reservation via the planning board

  1. Go to Planning.

  2. Select the period:

    • Click the start date of the desired period at the desired location.

    • Hold down the mouse button and drag to the end date.

    • Release the mouse button to open the reservation popup.

  3. Go to Step 2: Companionship, options and surcharges and enter the number of guests and add any options or surcharges.

  4. Go to Step 3: Guest details and enter the guest details or select an existing guest.

  5. Check 'This reservation is an option' and set an expiration date if that is desired.

  6. Click:

    • Place option to save the option without sending an email.

    • Or click the arrow next to it, and the Place option and send concept confirmation button will appear.

Convert an existing reservation into an option

Already created a reservation that has not yet been confirmed? You can still convert it to an option.

  1. Open the reservation you want to convert to an option.

  2. Click the dropdown arrow next to the Email button.

  3. Select Convert to option.

  4. Enter the expiration date and choose whether you want to send a draft confirmation. Then click Convert to option (and send draft confirmation).

Once a reservation has been confirmed, it can no longer be converted into an option.
