Since 1 January 2026, electronic invoicing has been mandatory for most business-to-business (B2B) transactions between Belgian VAT-registered businesses. These invoices must be sent in a structured electronic format. Sending a standard PDF invoice by email is no longer sufficient for these transactions.
Peppol allows businesses and organisations to exchange electronic invoices securely and efficiently. With our booking system, you can send business invoices directly from a reservation through the Peppol network.
⚠️ Please note: The Peppol module is not enabled by default. To activate it, contact [email protected].
How to set up Peppol
Go to Settings > Software > Peppol.
Click New Peppol connection in the top-right corner.
Select the correct business unit.
Check that all required information for the business unit has been completed and add any missing details if necessary.

How to send an invoice via Peppol
Once Peppol is configured, you can send electronic invoices directly from a business reservation.
To send an invoice:
Open a business reservation.
Click the arrow in the top-right corner to open the dropdown menu.
Select Send to Peppol.
Check the details. You will automatically see which business details are required for the business guest's country to send the invoice via Peppol.
Send the invoice.
Check the required details
Before an invoice is sent, our booking system automatically checks whether the business guest has a business identifier that Peppol accepts for the relevant country.
A VAT number can be used for all supported countries. For Belgium, Germany, Finland, France, Lithuania, Latvia and the Netherlands, the company registration number can also be used, such as the KvK number in the Netherlands.
The business guest does not always need to have both numbers. One valid identifier accepted by Peppol for the relevant country is sufficient. If the required business identifier is missing, the invoice cannot be sent via Peppol. When submitting the invoice, you will see which information is still required for that country.
How to resend an invoice via Peppol
You may need to resend an invoice, for example, after updating the details of a reservation.
To prevent unnecessary exports, repeated Peppol submissions for the same reservation are restricted. This means you may not be able to resend an invoice immediately.
Please note: Before resending an invoice, make sure the reservation and invoice details are correct. Sending an invoice again does not automatically cancel or replace the previously submitted invoice.
How to view invoices sent via Peppol
All invoices sent through Peppol can be found under Reports > Peppol > Sent Invoices. This report provides an overview of invoices sent through the Peppol network.
Important information
Invoices are sent from our booking system to Peppol and are registered there based on your company details. Before sending invoices, always make sure your company information is correctly registered within Peppol.
Mandatory electronic invoicing in Belgium
Since 1 January 2026, structured electronic invoicing has been mandatory for most domestic B2B transactions between Belgian VAT-registered businesses.
For these transactions, sending a standard PDF invoice by email does not meet the legal requirements. Peppol enables businesses to exchange structured electronic invoices securely. For more information, visit the Peppol website.
