If you no longer use an option or surcharge, you can archive it. We recommend only doing this when you no longer need the option or surcharge for new bookings, changes, or reports.
Archive an option or surcharge
Click Edit next to the option or surcharge you want to archive.
Click Archive surcharge.
Confirm that you are sure you want to archive the option or surcharge.
After archiving, you can find the option or surcharge under the Archived options and surcharges tab.
Check the end date before archiving
You can no longer edit an archived option or surcharge. Therefore, always check the settings before archiving. We recommend setting validity dates, such as the booking validity end date, to end on the date you archive the option or surcharge.
Do not archive a surcharge without checking these dates first. Once archived, you can no longer correct a missing or incorrect end date.
What happens after archiving?
Archived options and surcharges are no longer included in regular reports. If you need this data later, you can still create an export via Reservations. Select the export option With options and surcharges.
Archiving an option or surcharge does not remove it from existing bookings. If it was previously added to a booking and the booking falls within the configured validity period, the option or surcharge will remain on the booking.
Delete an option or surcharge
In addition to archiving, you can also delete an option or surcharge. We strongly advise against this. Only use this option if the option or surcharge was used exclusively for testing purposes and does not appear on actual bookings.
If you delete an option or surcharge that is used on existing bookings, it may be removed when the booking is changed or updated later. This can cause the booking amounts to change and no longer match your administration. Therefore, always use the archive function for options and surcharges that have been used on actual bookings.
