A batch update allows you to update multiple reservations at once using the latest settings, rates, or conditions. This saves time and ensures that existing reservations match the current configuration of our booking system.
In this article, you'll learn how to perform a batch update, which reservation data you can update, and where to monitor the progress and results.
Open the batch update
Click the three dots in the top-right corner next to your profile picture or company logo.
Under Settings, select Batch update.
This opens the overview containing all available batch update actions.
Step 1: What do you want to update?
Select the data you want to update. You can choose on or multiple update actions.
Administratively update reservations
The default option for updating administrative reservation details.
Change the rate group of reservations
Changes the rate group for the selected reservations.
Recalculate accommodation rates for reservations
Recalculates accommodation rates based on the current settings.
Update reservations using the current rates
This option becomes available after selecting the previous update actions. When enabled, reservation rates are recalculated using a new reference date.
Update reservation deposit according to current settings (refundable deposit is reset to €0).
Recalculates the deposit for all selected reservations.
Updates reservations options and surcharges according to current settings (quantities remain the same)
Update options and surcharges using the latest settings while keeping the existing quantities unchanged. This is useful, for example, when you've added a new mandatory surcharge.
Update options and surcharges according to current rates
Updates the prices of options and surcharges if they have changed.
Update reservation confirmation translations according to new accommodation, location and option/fees settings
Updates translations based on the latest accommodation, location, and option/surcharge settings. Use this option after adding or modifying translations.
Update reservation check-in and check-out times
Applies the latest check-in and check-out times to the selected reservations.
Update automatic tasks for reservations
Creates new automatic tasks for reservations that do not yet have them. This is useful after adding new automatic task settings.
Update tasks according to current settings
Updates all existing tasks using the latest task settings. Warning: any manual changes made to existing tasks will be overwritten and cannot be restored.
Recalculate payment terms (excluding reservations with modified payment terms)
Updates the payment terms for the selected reservations. Reservations with manually adjusted payment terms are excluded.
Step 2: Which reservations do you want to update?
Choose which reservations you want to update by setting the following criteria.
Reference date
Choose whether the update is based on reservation date, date of arrival or date of departure. The selected date is used as the reference for the date range.Date from
Select the start date of the period.Date until
Select the end date of the period.Accommodation category
Optionally select a specific accommodation category.Accommodation
Select one or more accommodations. Leave this field empty to include reservations for all accommodations.Rate groups
Optionally select a specific rate group to update only reservations within that group.Include cancelled reservations
Choose whether cancelled reservations should also be included in the batch update.
Important
A batch update modifies all reservations that match the selected criteria. Depending on the chosen update options, this may also affect rates, deposits, and payment terms. Always verify your selection carefully before starting the update.
Step 3: Run batch update
Before starting the update, review all selected settings.
Verify that the selected update options and date range are correct.
Click Schedule reservations update.
The batch update is added to the processing queue.
Depending on the number of reservations, processing may take several minutes.
View the logs
The Logs section shows:
Which batch updates have been executed;
When each update was performed;
Which reservations were updated.
This allows you to review and verify all completed batch updates at any time.
