Changing a location to a new accommodation

Learn how to change a location to a different accommodation in our reservation system while keeping existing reservations accessible and editable on the planning board.

There may be situations where a location needs to be assigned to a different accommodation. For example, when a camper pitch is later offered as an XL camping pitch. In these cases, it is important that the change is reflected correctly on the planning board an that existing reservations remain editable after the update.

This article explains how to safely transfer a location to a new accommodation type, both with and without future reservations.

Situation 1: No future reservations exist

Before making any changes, verify whether the location still contains future reservations. If no future reservations are present, continue with these steps:

  1. Locate the correct location and click Settings.

  2. Open the Accommodations tab. Deselect the old accommodation and select the new accommodation.

  3. Click Save changes.

Important information

Historical reservations will remain accessible and editable through the reservations dashboard, but they will no longer appear on the planning board.

If you want past reservations to remain visible and editable on the planning board as wel, follow the steps described in situation 2 below.

Situation 2: Future reservations still exist

Iff the location still contains future reservations, additional steps are required to ensure that reservations remain editable and correctly linked after the change.

Step 1: Temporarily link both accommodations

  1. Locate the correct location and click Settings.

  2. Open the Accommodations tab. Keep the old accommodation selected, also select the new accommodation.

  3. Click Save changes.

The location is now temporarily linked to two accommodation types.

Step 2: Move on the planning board

Go to the planning board, you will now see both accommodations. Reservations remain editable for the old accommodations and are blocked for the new accommodation.

Manually drag and drop the reservations from the old accommodation to the new accommodation on the planning board. This ensures that the reservations remain correctly linked and fully editable.

Step 3: Remove the old accommodation link

After all reservations have been moved:

  1. Open the location settings.

  2. Deselect the old accommodation at the Accommodations tab.

  3. Click Save changes.

Outstanding amount after rescheduling

When rescheduling reservations, the reservation status may change to 'Overpaid' or 'Waiting for payment.' This is because the amount on the reservation may sometimes change if the rates at the other accommodation are higher or lower than before, or if different surcharges apply.

You can lock in the old price on the reservation using a one-time price agreement. In our article 'One-time price agreement', you can read how to do this. This ensures that the old amount is not overwritten by the amount valid for the new accommodation. As a result, you won’t have any outstanding amounts.
