Managing group reservations

Learn how to convert reservations into a group reservation, merge reservations, move, split, or cancel units within a group reservation.

With group reservations, you can combine multiple reservations into a single overview. This is useful when a guest books multiple units, moves to a different unit during their stay, or when reservations need to be managed and invoiced together.

Converting a reservation into a group reservation

You can convert a reservation into a new group reservation.

  1. Open the reservation.

  2. Click the submenu in the top-right corner.

  3. Select Convert to group reservation.

The reservation will now be converted into a group reservation. An overview of all units within the group reservation will then be displayed.

Adding a reservation to a group reservation

Would you like to add an existing reservation to a group reservation?

  1. Open the reservation.

  2. Click the dropdown menu in the top-right corner.

  3. Select Add to group reservation.

  4. Search for the group reservation by name or reservation number.

  5. Select the correct group reservation.

  6. Confirm the merge.

Any payments that are present on the reservation will be transferred to the group reservation.

Note: payments can no longer be moved after the merge. Therefore, always carefully check that you are merging the correct reservations.

Splitting locations within a group reservation

You can split a location within a group reservation. This is useful, for example, when a guest changes units during their stay or when you want to register a vacancy period separately.

  1. Open the group reservation.

  2. Select the relevant location.

  3. Click Split location.

  4. Select the desired split date.

  5. Click Save changes.

The location will now be split into separate periods. Always check the party composition and the options and surcharges of the new unit after splitting.

Moving locations between group reservations

You can move one or more units to a new or existing group reservation. This is useful, for example, when units are paid for separately, units belong to different guests, or previously moved units need to be moved back to another group reservation.

  1. Open the group reservation.

  2. Select the desired units.

  3. Click Move to new group reservation or Move to existing group reservation.

The selected units will be added to a new group reservation or to the selected group reservation.

Note: payments are not moved automatically. Therefore, check carefully in advance which payments have already been processed.

Cancelling locations within a group reservation

Would you like to cancel one specific unit?

  1. Open the group reservation.

  2. Click the reservation number of the sub-reservation for the relevant unit.

  3. Cancel the reservation as you normally would.

  4. Enter cancellation fees if applicable.

The unit will then receive the status Cancelled within the group reservation.

Cancelling a group reservation

You can also cancel the entire group reservation. When you cancel a group reservation:

  • All linked units will receive the status Cancelled.

  • The group reservation itself will receive the status Cancelled.

  • Any cancellation insurance will remain on the reservation.
