Managing recurring service charges

Learn how to create, manage, and apply recurring service charges to owner statements within our booking system.

Recurring service charges allow you to automatically charge fixed costs to owners through the owner statement. This is useful for costs that occur periodically, such as management fees, subscriptions, or other recurring charges.

Filtering the recurring service charges overview

If you have created many recurring service charges, you can use various filters to quickly find the information you need.

Within the recurring service charges overview, you can filter by:

  • Date, period, accommodation, a specific owner statement.

This makes it easier to manage and review large numbers of recurring service charges.

Creating a new recurring service charge

To create a new recurring service charge, follow these steps:

  1. Click Create recurring service charge in the top-right corner.

  2. Choose how the service charge should be applied:

    • Based on an interval (for example, monthly or yearly).

    • Per reservation.

  3. Select the start date.

  4. Choose which owner statements the service charge applies to, enter a clear description and optionally add a reference code.

  5. Enter the amount: including VAT, or excluding VAT and save the service charge.

The service charge will then be automatically applied to the selected owner statements.

Managing existing service charges

Each recurring service charge has three available actions:

  • Edit: Click the pencil icon to modify the settings of an existing service charge.

  • Archive: The service charge will no longer be used for new owner statements. However, it will remain visible on existing and historical owner statements.

  • Delete: Permanently removes the service charge.

Important: deleted service charges may affect historical data. Therefore, we recommend deleting a service charge only when:

  • All relevant owner statements have been finalized and are no longer needed.

  • The service charge was created for testing purposes only.

  • The service charge has never actually been used.
