A rate group profile determines how rate groups are applied to owner statements. Our booking system can then automatically use these settings for reservations. In this article, you will learn how to create a profile, add rules and link the profile to an owner statement.
When do you use a rate group profile?
A rate group profile is useful when the rate group used for the owner statement depends on how the reservation was made.
For example, you can configure the profile so that:
reservations from specific channels are settled using rate group A;
other reservation sources are settled using rate group B;
all other reservations use a default rate group.
Our booking system then automatically determines which rate group applies based on the reservation source.
Create a rate group profile
Click New rate group profile in the top-right corner.
Enter a clear name under Name, for example, 'owners with channel discount'.
Select a Default rate group.
Click Save changes.
The default rate group is used when none of the rules in the profile match the reservation.
If you select Rate rules for the reservation, our booking system uses the rate rules that are set on the reservation itself.
Add rules for reservation sources
Use rules to link reservation sources to a rate group.
Under Rules, click Add rules.
Under Rate group, select the rate group that should apply to this rule.
Click Edit sources.
Select one or more reservation sources.
Add additional rules if needed.
Drag the rules into the correct order using the handle on the left.
Click Save changes.
The rules are checked from top to bottom. The first rule that matches the reservation determines which rate group is used.
If a reservation source appears in multiple rules, the highest rule in the list applies. If none of the rules match, the default rate group is used.
Update existing reservations
When you save a rate group profile, a pop-up appears. Here, you can choose whether you also want to apply the change to existing reservations.
You can choose from:
Update reservations from a selected date: reservations with an arrival date on or after the selected date are recalculated.
Do nothing: existing reservations remain unchanged.
We recommend selecting a date after the most recent owner statement. This prevents reservations that have already been settled from being recalculated.
Link the rate group profile to an owner statement
After setting up the profile, link it to one or more owner statements.
Open an existing specification or create a new one.
Under Rate group profile, select the profile you want to use.
Click Save changes.
You can link the same profile to multiple owner statements. Any changes you make to the profile will then apply to all linked owner statements.
Do you want to update multiple specifications at the same time? Select them in the overview and use Edit selected specifications to edit them together.
Existing owner statements
Existing owner statements have automatically been converted to rate group profiles. This means the current calculation remains unchanged. If no rate group had been configured, the owner statement is linked to Rate rules for the reservation.
