Setting up rate groups

Learn how to set up rate groups for accommodations, discount cards such as ACSI, and tour operators, and apply different rates to your bookings.

Rate groups allow you to set different rates for specific accommodations, discount cards, tour operators, and other situations. For example, you can offer a separate ACSI rate or set specific prices for bookings made through a tour operator.

A rate group is a separate rate structure from your standard rates that can be linked to one or more accommodations.

Create a rate group

Follow these steps to create a new rate group:

  1. Click New rate group in the top-right corner.

  2. Enter the details of the rate group:

    • Description: enter a clear and recognizable name for the rate group, such as 'ACSI' or the name of a tour operator.

    • Apply discounts: choose whether existing discounts should also apply to this rate group.

    • Applying packages: choose whether existing packages should also apply to this rate group.

    • Automatically transfer rates: enable this option to automatically derive the rates in this rate group from another rate group.

    • Active: enable this option to make the rate group available for use.

    • Display as a membership option: enable this option if guests should be able to select this rate group themselves during the booking process.

  3. Open the Accommodations tab and select the accommodations to which the rate group should apply. Hold down the CTRL key to select multiple accommodations. On a Mac, use the CMD key.

Set rates within a rate group

After creating a rate group, you can set the corresponding rates.

  1. In the Rate group filter, select the rate group for which you want to view or change rates.

  2. Click View results.

  3. Edit an existing rate or add a new one via New rate > New accommodation rate.

  4. Set the required rate and corresponding rate periods.

Use a rate group for a reservation

You can select a rate group when creating a new reservation. You can also change the selected rate group afterwards for an existing reservation.

Select a rate group for a new reservation

  1. Go to Reservations and create a new reservation.

  2. Go to Step 2: Companionship, options and surcharges.

  3. Select the required rate group.

  4. The standard rates are automatically replaced by the rates from the selected rate group.

Change the rate group for an existing reservation

Would you like to use a different rate group for an existing reservation? You can change the reservation's rate group by hovering over the Rate group field in the reservation.

Set up a rate group for an ACSI discount card

Do you accept a discount card such as ACSI? Create a separate rate group for the card, for example named 'ACSI'. This allows you to set specific ACSI rates.

If you enable Display as a membership option, guests can indicate during the booking process that they want to use this rate group.

Archive a rate group

If you no longer use a rate group, you can archive it.

  1. Open the relevant rate group by clicking Edit.

  2. Click Archive rate group.

  3. Select 'I understand that archiving cannot be undone'.

  4. Confirm that you want to archive the rate group.

Important

Make sure the rates within the rate group cover all relevant periods.

For example, if you only offer the ACSI discount during the low season, enter your regular rate for the remaining periods within the same rate group.

This ensures that guests can still make bookings that overlap multiple rate periods, for example when part of their stay falls within the ACSI period and another part falls outside it.
