Learn how administration works in our booking system, from payments and administrative bookings to general ledger accounts, reports, and exports.

Our booking system includes various features to support your financial administration. In this article, we explain how the administration is structured and where you can find the most important functions.

How does the administration work?

The administration in our booking system is based on the cash accounting method. This means that revenue is processed when a payment is received or refunded.

An administrative booking is automatically created whenever a payment, refund, cancellation, or administrative update takes place. In addition, when the guest checks out, another journal entry is created to update any changes without a payment.

Administrative bookings, also known as journal entries, form the foundation of the financial administration within the system. All financial transactions are recorded here.

Ledger accounts and VAT rates

Before you start using the administration features, it is important that your general ledger accounts are configured correctly. You can manage these via: Administration > Accounting > Ledger accounts.

You can then use the administration settings to determine how revenue, costs, and VAT are processed in your accounting.

Reports

Several accounting reports are available to help you analyse your administration. These reports are based on the administrative bookings in the system.

The most important report is the Trial balance. This report provides insight into opening balances, transactions, and current balances per general ledger account.

You can find it via: Administration > Accounting > Trial balance. For more information, see the article Trial balance overview.

For a more detailed analysis of financial transactions, you can export administrative bookings to Excel or Google Sheets.

This allows you to create your own reports and analyses based on administrative dates, arrival dates, or departure dates.
