Rates determine how the accommodation price for a booking is calculated. In this article, we explain the basics of creating and setting up a new accommodation rate.
Create a new accommodation rate
Click Prices for the required accommodation.
In the top-right corner, click New rate > New accommodation rate.
Enter the basic rate details under the General tab.
Give the rate a clear description and set the period during which the rate is valid.
Use priority 1 for the base rate.
You can then continue setting up the rate using the different tabs.
Choose how you want to calculate your rates
Go to the Price specifications tab to set the prices for the accommodation rate. The best method depends on how you want your prices to be calculated. Click the linked method to view the corresponding instructions.
Method | Suitable when |
You want to charge a fixed amount per night during a specific period
The price depends on both the number of guests and the number of nights
You want to charge a different rate for weekend nights than for weekdays
You use fixed prices for specific lengths of stay |
Do you use different seasons or multiple periods with the same price? See the article Set up rate periods. If you want to use fixed prices for stays such as a week, midweek, or weekend, see the article Set up lengths of stay.
Other accommodation rate settings
In addition to the prices, you can configure several other settings within an accommodation rate.
General: general rate details, such as the description, validity period, and priority. Use priority 1 for a base rate.
Administrative: the VAT profile and general ledger account for this rate. By default, these are based on the VAT profile and general ledger account configured for the accommodation.
Camping equipment: use this tab if the rate should only apply to a specific type of camping equipment. Keep in mind that no rate will be calculated if the guest selects a different type of camping equipment for this accommodation.
Additional rates for extra guests
Would you like to charge extra when the number of guests exceeds the number included in the base rate? You can use additional rates for this.
For example, you can set a separate rate per person per night for additional adults and children and link these rates to different age groups.
For instructions, see the knowledge base article Set additional rates for extra guests.
Save and check the rate
Save the rate after completing all the required settings.
We recommend making a test booking afterwards. This allows you to check whether the correct prices are calculated for different periods, lengths of stay, and numbers of guests.
Manage your rates afterwards
Once your rates are set up, you can easily update or reuse them later. For example, see the following articles:
Adjusting rates during the season – when you want to change prices without affecting existing bookings.
Duplicate rates to other accommodations or rate groups – when you want to reuse existing rates.
Update availability and rates for the upcoming season – when preparing your rates for a new season.
